Print shipping slips and invoices several per sheet
Print shipping slips, delivery notes, and invoices several per sheet when staff need a compact working copy. PdfNUp combines PDF pages into a consistent A4 grid so a team can prepare a batch of short operational documents without manually arranging each page.
Use a compact layout for the right tasks
An e-commerce team might keep a small set of picking references beside a packing station, while a finance team may use a reduced copy to match invoice references during a reconciliation meeting. A school administrator could prepare brief notices or a workshop outline for a table exercise. These are examples of where a smaller page can be convenient; they do not imply that a dense copy replaces the full-size document required for formal records or customer communication.
Start by identifying the smallest information a person must read. On a shipping slip, that might be a product code, destination, or handling instruction. On an invoice, it may be a tax amount, due date, or account reference. On a delivery note, a signature or quantity can matter more than a title. If the key fields become difficult to distinguish at the intended print size, choose a lower density or keep the original pages at full size. The purpose is to make a useful reference, not to meet an arbitrary pages-per-sheet target.
A warehouse often works in batches. Group the documents in the order that matches a packing run or route, then preserve that sequence in the uploaded files. Each input PDF is appended in the order supplied and its pages remain in their existing order. A cover sheet can therefore mark a new batch, while a final page may carry a short remainder. Keep that remainder visible rather than manually reordering it after generation.
Keep common sheet geometry predictable
Operational bundles can mix a portrait invoice with a landscape delivery note or a page generated at a different size by another system. PdfNUp scales each page proportionally and centers it in its grid cell, without stretching the page. The output is one A4 PDF, and every output sheet uses the same cell dimensions. If a run ends with only one or two pages for its final sheet, those pages remain in their usual size instead of growing to fill the vacant cells.
Consistent cells matter when staff compare two batches or expect a document to sit in the same part of a printed sheet. The last sheet's empty spaces are a visible remainder, not a sign that pages were lost. Count source and output pages before printing: for example, a 31-page packet at six per sheet needs six A4 sheets, with one source page on the final sheet. That example is a count, not a recommendation for small operational type; test your own form at actual size.
To plan density, consider whether the sheet will be viewed at a desk, carried on a route, or pinned beside a workstation. A two-up layout leaves more room for small text and handwriting. Four-up may work for short forms that mainly act as a lookup. Six-up can suit a quick overview of terse pages. At nine-up, a form with narrow fields may be difficult to use, even when the PDF remains sharp. Choose based on the reader's task and any accessibility requirements that apply to your workplace.
Handle permissions and records carefully
Some administrative PDFs limit editing while still allowing printing. PdfNUp accepts an owner-restricted file when printing is allowed. It refuses PDFs that require a password to open or prohibit printing, as well as damaged or unsupported inputs. Do not try to bypass a restriction. Ask the document owner for an authorized print copy when the file cannot be processed.
A compact print is a convenience copy, not necessarily the record of authority. Keep the source and generated output under the retention policy for invoices, shipping data, or student records. Remove personal information from a working print when it is no longer needed, and avoid placing a customer address where it is visible to people who have no operational reason to see it. The service's file handling does not change your organization's access, retention, or disposal obligations.
For repeat batches, test one representative job and review a field from the first, middle, and last source documents. Confirm that the reference values can be read and that a worker can match each sheet to the right parcel or account. Use a full-size original for scanning, signing, archiving, or any process that depends on page dimensions. A reduced print can support the workflow while the authoritative source remains intact.
Automate carefully when volume grows
Teams that already prepare PDFs in software can start the asynchronous API flow with an authenticated multipart POST to /api/files/start-process. Send PDF parts as file0 through file19, include a parameter value such as {"pagesPerSheet":4}, and track the returned action until its result is ready for download. The endpoint is a processing interface; your system still needs to control who may submit a job, where source documents are stored, and who can retrieve the result.
The file limits are up to 20 PDFs, 50 MiB per file, and 500 source pages in total. If a batch is larger, split it into intentional work units and label each output so its relationship to the source set is clear. Do not split a confidential packet across unrelated access groups simply to fit the limit. The operation runs locally in MXPROCESS and does not use an external AI provider; each successful run costs 10 tokens.
Before wiring a recurring job into an operational system, make a human review part of the release path. Check the file sequence, output page count, legibility, and print settings. Record errors without exposing customer names or document paths in logs. Once a process is reliable for a specific form, retain a sample output and review it again when the source template changes. Form fields often move or shrink between revisions.
For a broader overview of density, read how sheet counts and reading comfort affect paper planning. When the batch is ready, prepare a consistent multi-page PDF for the workbench and verify a sample before distribution.
Questions from office and logistics teams
Can a protected invoice be included?
A PDF that is owner-restricted but permits printing can be accepted. A file requiring an opening password or prohibiting printing is refused; request an authorized copy instead.
Are all pages the same size in the output?
The output sheets are A4 and the grid cells stay the same size throughout, including a partially filled last sheet. Source pages are proportionally scaled and centered within those cells.
Can an API job exceed 500 pages?
No. The current limit is 500 source pages across no more than 20 PDFs, each up to 50 MiB. Divide a larger workload into well-labeled batches if policy permits.
