Give feedback a specific question

Separate onboarding friction, reliability, pricing, support, and feature requests. Comments about delivery delay should not be merged casually with requests for a faster interface. Preserve channel, date, and context where authorised. These details distinguish a widespread issue from a loud isolated event and help a team decide what to research next.

Keep themes tied to voices

A theme should explain the shared issue and retain enough excerpts for checking. Separate a complaint from a proposed solution, an observation from an interpretation, and praise from proof of business impact. Contradictory feedback matters: a small group blocked by an edge case can reveal a serious usability problem. Do not rewrite a customer’s words into a stronger claim.

Check sample and privacy

Ask who selected comments, whether duplicates exist, and which customers were absent. Support data overrepresents problems; surveys overrepresent respondents. Read sarcasm, mixed languages, and sensitive allegations manually. Remove unnecessary identifiers and keep files within the owner’s boundary; an action ID does not authorise access to another user’s feedback.
