Repairs, insurance, reporting, access, alterations, and use restrictions can be easy to lose in a long commercial lease. Capture the commercial condition

A repair duty may depend on a schedule of condition or fair-wear exclusion. Insurance may specify cover, named parties, certificates, and renewal dates. An alteration may require consent, plans, reinstatement, and supervision. Preserve those conditions and references. “Tenant must repair” is not an adequate substitute for the clause that defines scope, exclusions, timing, and evidence.

Validate each row against the source

Check section numbers, negations, amounts, dates, defined terms, and missing exhibits. Distinguish “may” from “must”, consent from notice, and a monthly report from an annual certificate. Mark conflicting versions and illegible scans. Keep reviewer corrections and source locations with the output so a later property manager can understand why a row was accepted.

Move from extraction to follow-up

After review, assign repairs, request insurance evidence, and discuss upcoming landlord and tenant actions in the property meeting. Keep the contract authoritative. A generated row must not send a demand, waive a right, or mark a breach. Lease files can contain rent, addresses, and personal data; process only authorised material and preserve ownership even when an administrator manages the action.
